Our Approach
At Vibrancy Ventures Ltd, we take security, privacy, and responsible AI usage seriously. We design and operate our systems with a practical, risk-aware approach focused on protecting customer data, maintaining service integrity, and reducing unnecessary exposure. While no online system can ever be guaranteed to be completely secure, we implement reasonable technical and organisational safeguards designed to protect the confidentiality, integrity, and availability of our Services.

Data Protection
Vibrancy Ventures Ltd is registered with the UK Information Commissioner’s Office (ICO) under the UK GDPR and Data Protection Act 2018. ICO Registration Number: ZB726250
We maintain internal operational processes relating to:
- data protection;
- complaint handling;
- data retention and deletion;
- access management; and
- responsible use of AI systems.

AI and Data Handling
Certain Vibrancy.ai Services use artificial intelligence systems and third-party AI providers to generate outputs and automate workflows. We do not use customer chatbot or portal conversations to train public AI models. Third-party AI providers may temporarily process submitted data solely for the purpose of delivering requested functionality and maintaining service reliability, subject to contractual and technical safeguards. We encourage users not to submit highly sensitive personal information into AI-powered systems unless explicitly authorised and contractually agreed.

Infrastructure and Access Controls
We implement reasonable safeguards designed to reduce unauthorised access and operational risk, including:restricted account access;password and credential management;role-based access controls where appropriate;managed third-party infrastructure providers;monitoring and operational oversight. Access to internal systems and customer data is limited to authorised personnel and service providers with a legitimate operational need.

Payments and Financial Data
Payments are processed securely through third-party payment providers, including Stripe. We do not store full payment card details on Vibrancy.ai systems.

Subprocessors and Third-Party Providers
We work with carefully selected third-party providers to support infrastructure, analytics, communications, AI functionality, and payment processing. These providers may process limited data on our behalf in accordance with contractual, technical, and legal safeguards. Information about key subprocessors may be provided upon request or through our subprocessor disclosure page.

Retention and Deletion
We retain personal information only for as long as reasonably necessary for:providing Services;maintaining security;complying with legal obligations;resolving disputes; andenforcing agreements. Where data is no longer required, we aim to securely delete or anonymise it within reasonable operational and legal timeframes.

Responsible AI Use
We believe AI systems should support human decision-making, not replace accountability. AI-generated outputs may contain inaccuracies or incomplete information and should be reviewed appropriately before being relied upon for operational, legal, financial, or business decisions. We encourage human oversight and validation when using AI-generated outputs.
